ACCOUNTABILITY

Accountability & Transparency

PHCI believes trust is built through transparency, responsible stewardship and accountability. That shows in how we govern ourselves, manage resources, protect the people we work with, and respond when something goes wrong. What follows sets out how each of those works in practice.

Governance

PHCI’s governance system rests on integrity, transparency, accountability, professionalism, responsible stewardship, effective decision-making and community accountability. These principles set how decisions are made and who answers for them.

The organisation is led by a Board of Directors, which appoints and oversees the Executive Director. Day-to-day work is organised into seven functional areas:

  • Programmes and Technical
  • Finance and Administration
  • Monitoring, Evaluation, Accountability and Learning
  • Human Resources
  • Partnerships and Resource Mobilisation
  • Communications and Community Engagement
  • Water, Sanitation and Hygiene

As PHCI grows, Board committees will be established to provide specialised oversight of particular areas of the work.

Financial Accountability

Trust is built through transparency, responsible stewardship and accountability, and nowhere more so than in how PHCI manages the resources entrusted to it.

Our financial practice covers:

  • Responsible financial management
  • Proper procurement
  • Clear authorisation procedures
  • Asset management
  • Regular reporting
  • Independent and external audits
  • Donor compliance

Where a funder sets particular reporting or compliance requirements, PHCI works to those terms. Questions about how we manage resources can be sent to info@phci.health.

Safeguarding & Protection

PHCI is committed to protecting children, women, persons with disabilities and other vulnerable individuals from abuse, exploitation, harassment and discrimination. Everyone who interacts with PHCI has the right to be treated with dignity, respect and safety.

Our safeguarding framework covers:

  • Child safeguarding
  • Protection from sexual exploitation, abuse and harassment
  • Staff code of conduct
  • Confidential complaints mechanisms
  • Reporting and referral procedures
  • Safeguarding training
  • Confidentiality
  • Data protection

Concerns can be raised through the confidential channels described under Complaints and Feedback below. Safeguarding reports are seen only by the people responsible for handling them.

Complaints & Feedback

PHCI wants communities to take an active part in improving our programmes. Every concern is treated seriously and handled according to our organisational procedures.

You can contact us about:

  • Feedback
  • Complaints
  • Suggestions
  • Questions
  • Reports of misconduct
  • Recommendations

When you get in touch, it helps to tell us where you are, what type of feedback you are giving, what happened, and how you would prefer us to respond. You may give your name or stay anonymous. Write to info@phci.health or use the form on our Get in touch page.

Policies

PHCI is building a policy library. Only policies that have been formally approved are published here, so the list below shows what is being prepared rather than what is already available.

  • Data Protection and Privacy Policy
  • Anti-Fraud Policy
  • Procurement Policy

Each will appear here once it has been approved. Until then, questions about any of them can be sent to info@phci.health.

Privacy Notice

This notice explains what personal information PHCI collects through this website, why we collect it, how long we keep it and how you can ask us to remove it.

What we collect. Information reaches us through four routes. The contact form collects your name, email address, telephone number, organisation, subject and message. The volunteer form collects your name, email, telephone, area of expertise, qualifications, experience, preferred area of contribution, availability and motivation. The feedback and complaints form collects your name if you choose to give it, your contact details, location, type of feedback, description and preferred response method. Safeguarding reports collect only the contact details and description you provide, kept to the minimum needed.

Why we use it. To respond to enquiries, process volunteer expressions of interest, act on feedback, suggestions and complaints, and handle safeguarding concerns responsibly, confidentially and in line with our safeguarding procedures.

How long we keep it. Only as long as necessary to respond to your enquiry or report and, where relevant, to meet our safeguarding, financial or legal obligations. Once it is no longer needed it is securely deleted.

Who can see it. Access is limited to authorised PHCI staff who need the information to carry out their role. Safeguarding reports are seen only by the individuals responsible for handling such concerns. We do not sell or share your personal information with third parties for marketing purposes.

Your rights. Under Uganda’s Data Protection and Privacy Act, 2019, you have the right to access, correct or request deletion of the personal information you have shared with us. To make such a request, contact us at info@phci.health and we will respond promptly.
